Why are some buttons grey? |

Light grey
buttons with grey text show OttoEditions functions that have not yet
been implemented. Dark grey buttons with grey text represent activities
that your username is not authorized to perform. Buttons with black
text represent activities that you are authorized to perform. If you
believe that you should be authorized to perform more activities,
please contact your OttoEditions Library Coordinator. |

Who
is the "library coordinator?" |
|
The OttoEditions
Library Coordinator, or Account Coordinator, is the person in your
library responsible for managing the account profile and setting up
usernames and permissions. The Library Coordinator also receives e-mail
announcements about OttoEditions. If you don't know who the Library
Coordinator is for your library, send e-mail to service@harrassowitz.de. |

How
can I find out my username or password if I have forgotten it? |
|
Your Library
Coordinator can see it in the account management function of OttoEditions.

How
many people can login using the same username? |
|
There is no
limit to the number of people who can login with the same username
at the same time. |
|
|
What
is a "customer code"? |
|
It is a code
assigned by HARRASSOWITZ that identifies the library's accounts in
OttoEditions. |
|
|
How
are customer codes used? |
|
Customer codes control
many of the functions related to OttoEditions; for example:
 |
Every
billing/shipping address combination has a separate customer
code. |
 |
New Title Announcements and approval plan selections always receive a particular
code, usually ending in -FS or -BLO. |
 |
Every
order and selection in OttoEditions has a customer code. |
 |
Different
customer codes can be used to identify different collections
in a library. |
 |
Records
are chosen for downloading as MARC 21 records based on their
customer code. |
 |
Some
customer codes may be used for ordering in OttoEditions; some
are only used for search and display. |
 |
Each
username is permitted to use a defined set of customer codes,
which is managed by the Library Coordinator. |

What
is an OttoEditions account? |
|
An OttoEditions
account consists of a group of usernames that may use a defined group
of customer codes. Each OttoEditions account has a Library Coordinator.
Most institutions have one OttoEditions account, but some institutions
have separate accounts for separate libraries. |
|

About the OttoEditions
database
|
How
far back does the OttoEditions database go? |
|
The database
includes bibliographic records for books and music scores that we
have loaded or entered since 1986. |
|
|
What
parts of the DNB (Deutsche National Bibliographie) are included in
OttoEditions? |
|
HARRASSOWITZ
has been loading DNB records since 1997, including Series A (trade
publishers), B (non-trade material) and N (CIP). Excluded are schoolbooks,
textbooks and "Bastelbuecher" (crafts books). Prior to 1997,
only titles cataloged for the approval plan and New Title Announcement program
were included. |

If
titles are in OttoEditions, can they also be found in OCLC? RLIN? |
|
HARRASSOWITZ
sends to OCLC records for books for which we have cataloging from
CIP or other sources; that is, about 30,000 titles per year. To RLIN,
we send only those titles that were cataloged with book in hand (about
two-thirds of those sent to OCLC).
Cataloging for music scores is not sent to OCLC or RLIN. |

How
far back can I see New Title Announcements in OttoEditions? |
|
New Title Announcements
created since January, 1999 can be found in OttoEditions. |

Search and display,
printing
|
Why
am I having trouble searching by Publisher No.? What is a Publisher
No.? |
|
The Publisher
Number is assigned by music publishers to identify music scores and
recordings. In a search, the Publisher Number must be entered exactly,
using the same capitalization and spacing that the publisher uses. |
|
|
In
what order are search results displayed? |
|
The order
in which they were added to the database. Therefore, older publications
will generally appear before newer ones. |
|
|
What
does the annotation "not through book trade" mean? |
|
These are
titles that cannot be sold by HARRASSOWITZ, but they can be obtained
directly from the publisher. When we discover that a book is not available
through the book trade, we add this annotation to its record. |
|
|
Then
why do you keep these titles in your catalog? |
|
Because sometimes
we can still persuade the publishers to supply the book to a library.
Sometimes publishers send us one copy and then decline to send further
copies. |
|
|
Printing
the search results page uses a lot of ink because of the shading on
the page. Can you stop this? |
|
Printing the
shading is controlled by your internet browser. If you are using Microsoft
Internet Explorer, go to Tools / Internet Options. Select the "Advanced"
tab, and in the section on "Printing," be sure that the
box labeled "Print background colors and images" is not
checked. If you are using Netscape Navigator, go to File / Page Setup.
Be sure that the box for "Print backgrounds" is not checked. |

Ordering
|
How
far back do the order histories go in OttoEditions? |
|
The order
histories displayed in OttoEditions go back to the end of 1997. |
|
|
Can
you check for duplicate orders? |
|
Yes. When
we check for duplicate orders, we can notify you of orders placed
as early as 1997. |
|
|
If
I can't find the title I want to order, can I still place an order
through OttoEditions? |
|
Yes. If you
are unable to find the title you want to order, you can still order
it in OttoEditions. From the search results page, click on the "Order
title not found" button and enter as much information as you
have about the title. We will contact you if we need to confirm further
information about your order. |
|
|
Can
I cancel an order through OttoEditions? |
|
You can request
cancellation of an order through OttoEditions, even if the order was
placed outside of OttoEditions. Find the order you want to cancel,
then from the search results display, click on "Review Order
History." After the order history is displayed, click on "Request
cancellation of order." An order cannot be cancelled when it
has the status "invoiced and shipped." |
|
|
When
I placed an order in OttoEditions, I checked the "Confirm order
information after submitting" box on the order form. But I haven't
received any confirmation either by e-mail, fax, or paper mail. |
|
If you check
the "Confirm order" box, OttoEditions will put up an alert
box, summarizing what you just entered, before actually submitting
your order. This gives you a chance to review what you just ordered
and stop it from being submitted, if you wish. But you will not receive
any further confirmation of the order. |
|
|
Is
there a maximum or minimum length for the "selector" field
when I enter an order? Fund? Library Notes? |
|
You may enter
up to 50 characters in these fields. |
|
|
If
we have a series on standing order from HARRASSOWITZ, will OttoEditions
prevent us from ordering a title in that series? |
|
If you try
to select or order a title in a series that is on standing order with
us, you will receive a warning after you click on "Select"
or "Order". This process is not perfect, however. It may
be that your library has not ordered the entire series, so your library
may not have received the volume in question on standing order. Also,
not all of our standing orders have been recorded in OttoEditions
yet. |

What
if I have already received a title on approval from HARRASSOWITZ?
Will OttoEditions prevent me from ordering it? |
|
OttoEditions
displays the order status, which tells you if a title has been selected
for your approval plan or supplied on your approval plan. If you then
try to order or select such a title, OttoEditions will warn you before
you submit the order. You may still order it again if you wish. |
|
|
If
I have already ordered a title, might you send it on approval later? |
|
We do not
send books on approval that have already been ordered. |
|
|
Is
there any way I can see if a title will be selected for my approval
plan? |
|
No. As soon
as a title has been cataloged by our bibliographers, it is coded and
immediately selected for all the appropriate approval plans. If you
are worried about ordering something that we will later select for
you, rest assured that we will not ship anything to you on approval
that you have already firm ordered. If you want to order it and have
it billed to your approval plan (because you think it ought to be
selected), you can check the box "Add to approval plan"
at the bottom of the order form. |

Can
I see what other library has ordered a title? |
|
You can only
see the order status for customer codes that belong to your OttoEditions
account. Check with the OttoEditions Library Coordinator to find out
which customer codes belong to your OttoEditions account. |
|
|
For
RUSH orders, is it faster to order through OttoEditions or to send
the orders by e-mail? |
|
OttoEditions
orders (as well as BISAC or EDIFACT orders) will be processed faster
than e-mailed orders because they are processed automatically. Orders
sent by e-mail require some manual processing; therefore, they will
take longer to be processed. |
|
|
If
I order a title that is temporarily out of print, will you automatically
send it when it is reprinted? |
|
We will keep
the order until the book is printed again, and when it is available
we will process the order. We will notify you initially that it is
temporarily out-of-print, but you don't need to do anything further
unless you want to cancel the order. |
|
|
What
do you do when a title is permanently out of print? |
|
If you order a book title
that is permanently out of print, we send it to our Search Department.
The Search Department will determine whether or not this title might
be available in the used-book trade. If not, we will notify you
that it is unavailable and cancel the order. If so, the Search Department
will continue to look for it indefinitely, until the title is found.
Libraries may specify a period of time and a price limit within
which HARRASSOWITZ may send an out-of-print title without a quotation.
In OttoEditions, books that are in the search process are given
the status "Not available from publisher - in Search Department."
Out of print searching
is not available for music scores.

Selecting and deselecting
titles
|

How
long do selections remain in OttoEditions? |
|
3 years. |
|
|
How
can I deselect a title that has been previously selected? |
|
After you
have found the title, click on the checkbox in the search results
page; then click on "Review order history" at the bottom
of the page. This page has a button that allows you to deselect the
title. |
|

|
Account Management
|
How
can I change the OttoEditions Library Coordinator? |
|
Any changes
to the Library Coordinator must be made by HARRASSOWITZ. The existing
library coordinator or an authorizing person should send an e-mail
message to service@harrassowitz.de
to report the new coordinator's name and e-mail address, and the new
username and password to be assigned. The new Library Coordinator
will be notified by e-mail after the change is made. |

How
can I assign account management permission to another username in
addition to the Library Coordinator? |
|
This can only
be done by HARRASSOWITZ. The Library Coordinator should send an e-mail
to service@harrassowitz.de
requesting account management permission for an additional username.
The Library Coordinator will be notified by e-mail after the change
is made. |
|
|
Can
I have the same username/password for both OttoEditions and OttoSerials? |
|
No. Identical
usernames for both online systems will not be established due to technical
reasons. |
|
|
Can
I add another library's customer code to my OttoEditions account,
so that I can see what that library has ordered? |
|
Unfortunately,
at this time, any given customer code can only be viewed by one OttoEditions
account. |
|
|
|
Prices in OttoEditions
|
Is
the price listed in OttoEditions the price that my library will be
charged? |
|
Prices are
the publisher's list price, loaded from the DNB when available (many
DNB records contain no prices). For many titles, especially music
scores and imported titles, we enter the price manually, using information
from publisher catalogs and other sources. Whenever a book is invoiced
to a customer, we update the price. Therefore, if a book has not been
sold recently, or has never been sold by us, the price may be out
of date. Also, Series N of the DNB (containing CIP data) often cites
approximate prices. If the current price differs significantly from
the price listed in OttoEditions, we will notify you when you order
it and ask for confirmation of the order.
Also, the price in OttoEditions
does not include our shipping and handling charges.

What
price will I see in my downloaded MARC 21 files? |
|
MARC21 files
containing price quotes and order information will contain list prices
as they appear in OttoEditions. MARC21 files containing invoice information
will contain the prices that appear on your printed and/or electronic
invoices. |
|
|
|

files

Where
is the HARRASSOWITZ FTP site? |
|
Using your
FTP client, connect to ftp.harrassowitz.de. Use the username and password
assigned to your FTP account, and you will automatically be in the
correct directory. If you don't know your username and password, check
with your Library Coordinator. If the Library Coordinator doesn't
know it, please contact service@harrassowitz.de. |
|

After
I have set up my download profile, how does HARRASSOWITZ choose which
titles are to be included in the MARC 21 download file? |
|
There are 4 criteria
used for creating regularly scheduled MARC 21 download files:

OttoEditions" or "New Title Announcements" for price
information, |

"Firm ordered
in OttoEditions" or "Provisionally ordered in OttoEditions"

"Invoiced and
shipped on firm order" for firm order invoices, |

"Invoiced and

download, it will be included. |
We can also create a
retroactive file for you if necessary. Please make your request
to service@harrassowitz.de,

When
do the files of MARC 21 records appear on the FTP site? |
|
Between 6:00 and 7:00
a.m. CET; that is, between midnight and 1:00 a.m. Eastern Time in
North America.
For MARC 21 records with
order information for orders or selections entered into OttoEditions,
the records are captured on Tuesday, Wednesday, Thursday, Friday
and Saturday, for orders that were entered on the previous day before
midnight CET. Therefore, orders that were entered into OttoEditions
before midnight CET Monday through Friday will appear in the MARC
21 files the following day. Orders that were entered after midnight
will appear in the MARC 21 files a day later. Orders entered on
Saturday CET will appear the following Tuesday.
HARRASSOWITZ will send
an e-mail when a new file is available, with its filename, to the
person designated when the service was set up.

How
often do you place MARC 21 files placed on the FTP site? |
|
This is determined
by your download profile. You may choose to receive MARC 21 records
daily, weekly, biweekly or monthly. |
|
|
Can
I trigger the creation of a MARC 21 file at the time of my choice? |
|
No, these
are done automatically by batch programs during the night. |
|
|
How
long do files remain on the HARASSOWITZ FTP site? |
|
At least six
months. |
|
|
Can
I delete files from the FTP site? |
|
Yes, you can
use your FTP client to delete files from your directory. |
|
|
Why
am I seeing a funny-looking PO# in my downloaded records? I didn't
enter any PO#! |
|
If you do
not enter a PO#, OttoEditions creates one using "HAR" plus
the HARRASSOWITZ order number. These PO#'s can be suppressed from
your downloads if you wish. |
|
|
Can
HARRASSOWITZ provide MARC 21 records for titles on standing order
(both a series record and records for the individual titles)? |
|
Records for
the whole series are not available. HARRASSOWITZ can supply MARC21
records with invoice information for individual volumes shipped on
standing order. |
|
|
If
I order a "title not found", will a MARC 21 record for it
be included in the MARC 21 FTP files? |
|
Yes, order
records for titles ordered in this manner are included in the MARC
21 order records placed on the FTP site. |
