Getting started with OttoEditions for
libraries
Any library that already has an account
with HARRASSOWITZ is welcome to set up an OttoEditions account. To set
up your OttoEditions account, go to http://www.harrassowitz.de/ottoeditions
and click on "Library customers: establish an online access account."
If your library does not have an account with HARRASSOWITZ, please contact
service@harrassowitz.de.
After you have established the OttoEditions
account, HARRASSOWITZ customer service will notify the library coordinator
that the account has been set up. This usually takes about 3 days. After
that the library coordinator can login using the username and password
assigned in the initial account registration. From the Main Menu, choose
Account Management to set up additional usernames for library staff to
use for ordering materials from HARRASSOWITZ. At this time you may also
create a downloading profile if your library plans to load MARC 21 records
into the local acquisitions system.
Tip:
The Library Coordinator can modify the account profile at any time later,
using the Account Management function of OttoEditions. The important thing
when establishing the account is to submit the Institutional information
and to request a username and password for the Library Coordinator.
Step 1: Establishing
an account
Before setting up your OttoEditions account,
it is a good idea to review the staffing and workflow in your library.
Consider the following:
Each account has a username reserved for
the library coordinator. This username will receive all communication
regarding the account by e-mail. The Library Coordinator's username has
permission to manage and modify the account profile, set up new usernames,
and modify or delete usernames.
Before starting to set up the account,
you may want to read through the whole procedure, to anticipate what information
will be asked for. As you go through the account registration pages, you
can always use the "Back" button at the bottom of the page to
return to a previous page and change its contents. You can also exit the
procedure at any time by clicking on "Exit account registration."
After the account has been set up, the library coordinator can still change
the profile by logging into OttoEditions and choosing "Account management"
from the main menu.

and addresses for the account
Here you are identifying the institution
and library coordinator. Asterisked fields must be filled in.
Institution.
Use the institution name for the main account with HARRASSOWITZ.
Address.
Use the mailing address that should be used for contacting the library
coordinator. Please place each line of the address in its own box.
Coordinator authorized by.
Some libraries may wish to identify an authorizing person or body.
Library coordinator's username and password.
These will be entered into the OttoEditions system and will allow the coordinator
to login later and set up more usernames. Tip:
each username must be unique within the whole OttoEditions system. If you
use a username that has already been taken, you will be asked to change it
to something unique. The username and password should consist of only letters
and numbers. Upper-case and lower-case letters are interchangeable.
Click on "Continue" to go to
the next step.
New account registration (Part 2): Fund
codes and Library notes
Fund codes:
In the fund code box, you may enter a list of all the fund codes that
will be used by the OttoEditions account. Put one code on a line, and
press Enter after each line. These codes will appear in a pull-down
menu in the OttoEditions order form and the search form. OttoEditions
users will be able to select a fund code from this list.
If you do not want to list the fund codes individually, leave the box
blank. Users will be able to enter any text into the fund code field.
If you check the "Required" box, OttoEditions will not allow
anyone to order or select a title unless the fund code is filled in.
Library Notes:
OttoEditions allows you to customize 4 Library Notes fields for your
library to use as it wishes. Each of these notes appears on the OttoEditions
order form, and it also is stored in the OttoEditions order record.
Library Notes are also searchable in an order search.
Library Notes are purely for library use. They do not affect your orders
with HARRASSOWITZ.
First choose a label for each of the Library Notes that you wish to
use. It is not necessary to use all the Library Notes. The label that
you fill in is the label that will appear in the order form and the
search form in OttoEditions. The first Library Note is always reserved
for Selector.
If you enter a list of values in the "Values" boxes, these
will appear on a pull-down menu in the order form and the search form.
The operator filling in the order form will only be able to select from
the values that you have entered here.
If you do not fill in any Values, the field will be a free-text field.
If you want to require that your users supply information for any field,
check the "Required" box for that field. OttoEditions will
not allow anyone to order or select any titles without filling in that
field.
If you are not yet sure how you will want to use the Library Notes,
you may omit these steps and set up the Library Notes later, by logging
into OttoEditions using the Library Coordinator's username, choosing
"Account management" from the main menu, and then choosing
"Modify account profile."
Click on Continue to complete the account registration.
Confirmation of new Account Registration
This page summarizes all the information
you have entered. If you wish to change any of it, click on the Back
button at the bottom of the page until you reach the page you want to
change, make the change, and then click on Continue till you reach this
page again. Before submitting your request, you may want to print this
page for your files.
Please make note of the Library Coordinator's
username and password.
To submit the request for the OttoEditions
account, click on "Submit request for new account." You will
receive confirmation from HARRASSOWITZ after the account has been set
up. This should take no more than 3 days. In order to preserve uniqueness,
HARRASSOWITZ may need to make a modification to the username you selected.
If you click on "Exit account registration,"
your request will not be submitted.
Creating more usernames and creating a download profile
After receiving confirmation from HARRASSOWITZ
that the account has been established, the Library Coordinator can log
in to OttoEditions, using the username and password that was assigned,
and create usernames for individual staff access to OttoEditions. From
the Main Menu, choose "Account Management," and then click
on "Create new user name."
The Library Coordinator may also set up a download
profile for formatting MARC 21 records to be imported into the local
acquisitions system.
