Searching for titles and order records
Quick
search
To search quickly for titles by Keyword, Author, Title,
ISBN, HARRASSOWITZ Title ID, EAN or ISMN, use the Quick search option,
which is found at the top of the Main Menu, the Search Results, and the
Order Details pages. Quick search allows you to search for only one index
at a time. The results are displayed in short form by default. Description
of the search fields is found under Direct
bibliographic search fields.
Choose the index you want to use from the Quick search
pull-down menu, enter your search term(s), and click on "Quick search."
Regular search
To perform a more complex
search for materials in OttoEditions, or to search for orders, click on "Search and order" on the main menu. You will see the search
form.
Controlling the display of retrieved titles
In the search form, if you check the box for "Speed
order / select," you will not see a complete display of results,
but rather you will see each of the retrieved titles one by one, with
an order form attached to each. For each
title displayed, you may order it, select it, or reject it (if the title
is a New Title Announcement). You still have the option to bypass
any title rather than acting upon it.
The "titles per
page" pull-down menu allows you to specify how many retrievals to
be displayed on each page of the search result.
The default is set to 50.
Entering your search into the search form
There are three kinds of search fields: direct
bibliographic search fields, limit search fields, and order
search fields. You must always fill in at least one direct search
field or one order search field. You may limit your search results by
filling in one or more limit fields. You may combine bibliographic and
order search terms.
After you have filled in your search request, click on
the "Submit search" button, or just press Enter to get your
search started.
Direct bibliographic search fields
General rules
and advice for direct search fields:
The direct search fields are keyword searches. You can
enter as many words as you wish in any of the direct search fields.
Each word must be at least 3 characters long.
To search for diacritics (e.g. accents or umlauts),
type the letter either with our without the diacritic. For example,
to search for Günter Grass, you would type either günter or
gunter. When searching for umlauts you may also add an "e"
after the vowel instead of using an umlaut (guenther instead of günter).
Punctuation marks such as commas, apostrophes or hyphens should be included
if they appear in your search words.
Upper- and lower-case letters are treated the same.
You can use either in your search words.
OttoEditions displays the first 1000 records that are
retrieved by your search.
To avoid very large retrievals, try to
use words that are specific to what you are looking for, especially
in title and series searches. For example, you will get a more precise
result searching for Series "studies environmental science"
than for Series "environmental science"
To do a "stem search" or truncated search,
type an asterisk (*) where you want to truncate your word. For example,
searching for the word "asymmetr*" retrieves the words "asymmetry,"
"asymmetrical," "asymmetrie," "asymmetrischer,"
etc.
There are no stop words in OttoEditions. OttoEditions
searches for every word you type.
Standard numbers.
The first box on the Library Search screen allows you to search for
standard numbers. Click on the pull-down menu and select the number
you want to search for. Then type the exact number into the box, and
press return or click on the Submit Search button. Hyphens may be included
but are not necessary.

Author
- type the author's name. Because this is a keyword search, you may
type the name in any order. You may omit the first name if you wish.
Note: Do not include any punctuation, such as commas or apostrophes.
Title - type words from the title you are searching
for.
Keyword - type words that you wish to find anywhere
in the bibliographic record.
Series - type words from the title of the series
you are looking for. This retrieves all items in the series and
may give you a very large search result. For example, searching for
the series keywords "studies environmental science" retrieves
all the books in the series "Studies in Environmental Science."
It is not possible to search for a particular
issue number in a series.
Subject Heading
- use the pull-down menu to choose a subject area to look for.
OttoEditions Subject code is a 5-digit number assigned
by HARRASSOWITZ for its internal subject classification. For example,
26020, 28010. These are the numbers that are used to identify subject
categories in the HARRASSOWITZ Approval Plan and New Title Announcement
Program.
OttoEditions subject codes may be truncated to retrieve
a group of related subjects; for example, Subject code 0404 retrieves
all five subject headings under Classical Archaeology.
LC Class
is the alphabetic portion of the Library of Congress Classification
scheme for subjects. For example, QD, TD, T.
Note: only titles
cataloged for the Approval Plan and New Title Announcement Program contain
subject headings, Subject codes, and LC Classes.
Publisher - type words from the publisher name.
We recommend using caution with this search, because it is possible
to generate very large retrievals. Bear in mind that the publisher field
is not subject to authority control, so that a given publisher may be
represented differently in different records. HARRASSOWITZ recommends
searching for publishers by their generic names, not by "Verlag".
"Verlag de Gruyter," for example, would not be found.
Limit search fields
Limit fields restrict your results to
a particular set of criteria, such as language, material type, publication
date, price. You can add a limit to any search by filling in one or
more of the limit search boxes.
You must always fill in one or more direct
search fields or order fields. Limit fields are only used to restrict
the results that were retrieved by a direct or order search.
You may fill in as many limit fields
as you wish; for example, you may want to limit your retrievals to books
published within a certain price range, in a certain publication date
range, in a certain language, by a certain publisher.
Some of the limit field boxes are pull-down
menus; for example, Country of Publication, Language, and Publication
Status. To select a value, click in the box, and then click on the value
you want. You can search for only one value in a pull-down menu at a
time.
Price
- Use these boxes to restrict your search to books in a certain price
range. Prices are always given in EUR (Euro). Type the lowest price
you want to retrieve in the first box, and the highest price in the
second box. To retrieve all books below a certain price, leave the first
box blank. To retrieve all books above a certain price, leave the second
box blank.
Publication year
- Use these boxes if you want to restrict your search to titles published
in a certain year or range of years. For a single year, type that year
in both boxes. For a range of years, put the starting year in the first
box, and the ending year in the second box. For all titles published
during or after a certain year, put that year in the first box, and
leave the second box blank. For all titles published during or before
a certain year, type that year in the second box, and leave the first
box blank.
Date added to OttoEditions
- Use these boxes to restrict your search to titles added to OttoEditions
in a certain year or range of years. For a single year, type that year
in both boxes. For a range of years, put the starting year in the first
box, and the ending year in the second box. For all titles published
during or after a certain year, put that year in the first box, and
leave the second box blank. For all titles published during or before
a certain year, type that year in the second box, and leave the first
box blank.
For Subject heading, subject
code and LC Class searches, the date used for "Date added to OttoEditions" is the date on which the title was cataloged for the Approval Plan and
New Title Announcement Program.
Format - Use this pull-down menu to retrieve
only particular types of publication, such as Biography, Directory,
Festschrift, Textbook. The format field can also be used to limit your
search to specific media, such as E-books.
Language
- Use this pull-down menu to limit your retrieval to titles written
in a particular language or language group.
Country of publication
- Use this pull-down menu to retrieve titles published in a particular
country.
Publication status - Use this pull-down menu
to limit your retrieval to titles that are not yet published, out of
print, discontinued or temporarily discontinued.
Order search fields
The order search fields are:
HARR Order ID - the unique internal HARRASSOWITZ
order number.
PO or PO line number - the library purchase order
number or line item number attached to the order or selection. There
maybe be up to three different numbers; OttoEditions searches all three.
Customer code - the customer code that was used
in placing the order or making the selection. You can only search for
customer codes that your username is authorized to use.
Fund - the fund code used in placing the order
or making the selection. This is either a pull-down menu or a free-text
field, depending on how the OttoEditions account was set up.
Selector - the selector value that was used in
placing the order or making the selection. This is either a pull-down
menu or a free-text field, depending on how the OttoEditions account
was set up.
3 Library Notes fields
- the next three fields are customized for your library. The labels
for these fields and their permissible values were set up during account
registration.
Order status - the current status of the order
(pull-down menu). The top part of the Order Status list allows you to
search for groups of order statuses. Alternatively you may search for
an individual order status further down in the pull-down menu.
The definitions and groupings of the statuses are defined in the order
status table.
Limit to firm orders and Limit to approval plan orders. These
checkboxes can be used to restrict retrievals to either firm orders
or items to be sent as part of an approval plan.
Date limits- the Date limit fields can also be
used to limit the number of retrievals. The pull-down menu allows you
to choose which date should be used for limiting an order search:

To locate a single date, put the same date in both boxes.
For a range of dates, put the start date in the first box and the end
date in the second. For all dates on or after a certain date, put that
date in the first box and leave the second empty. For all dates on or
before a certain date, put that date in the second box and leave the
first box empty.
The order status table
provides an overview of recommended date searches in combination with
the order status.
Order searches can be combined with direct bibliographic search fields
and/or limit fields. For example:

Search tips
To further clarify how to search for order records, please use the following

your customer code in order to retrieve only your own NTA's.

Search results
After you have submitted your search, OttoEditions presents
you with a list of retrievals. The number of titles displayed on each
page is as specified in the "titles per page" pull-down menu
at the top of the search form. The default is set to 50.
You may page through the results by clicking on the "Next"
or "Previous" link found at both the top and the bottom of each
results page. To go to a different results page, click on the page number
you want, found between the "Next" and "Previous"
links.
The retrieved titles are displayed in the order that they
were added to the OttoEditions database, latest first. For each title
displayed, the completeness of the display can be toggled by clicking
on the Show/Hide title details button to the left.
Display of sets. If a search retrieves a set or
a volume in a set, all volumes are grouped under the set record. The individual
volume(s) that were retrieved, if any, are shown in a multi-line display.
The volume(s) that were not retrieved by the search are displayed each
on a single line showing the volume number and the title. The set record
is always shown, even if it was not retrieved by the search terms. An
icon at the end of the one-line display indicates whether there is order
information available for that volume.
To expand the display of an individual volume, click on
the one-line title display. Clicking on the double arrow at the right
collapses the display of that title.
Display of variant versions of a title. When a
search retrieves a title that is available in multiple versions, all the
versions are grouped together. There are four types of variation that
are grouped in this way:

A blue bar under the title indicates that multiple versions
are available. Clicking on the blue bar shows the other versions; clicking
again hides them.
Display of variant versions of a set. If a search
retrieves a set or volume in a set, and the set itself is available in
different versions, there are two blue bars: one expands the volumes of
the first version displayed, and the other shows the other versions with
all their volumes.
Order status and order
history
At the end of each bibliographic
record, you will see the order status of that title, if there is an order
record for your library. You can see the order status for all customer
codes at your institution, even for libraries that are not included in
your OttoEditions account. For example, at many institutions, the
main library and the law library have separate OttoEditions accounts.
These OttoEditions accounts can see one another’s order statuses,
but they cannot review one another’s order histories, nor can they
act upon one another’s order records.
